Delegates’ Responsibilities

GENERAL RESPONSIBILITY

Responsible for providing an interface between the executive of the 55+ Tenpin Bowling Association and the members in the delegate’s area. Wherever possible, use should be made of the Association’s website to achieve this end.

ELECTION OF DELEGATE

The delegate is to be selected by members in his/her area and may be re-elected at the AGM. He/she should ensure that regular meetings are held to discuss any matters pertaining to Association business, eg, re-election etc. If a delegate resigns, the members in the area should elect a replacement and advise the Secretary/Treasurer of the new appointment.

DISTRIBUTION OF INFORMATION TO MEMBERS

The Association operates a website – http://www.55plustbanz.org.nz/ – on which information relating to the activities of the Association is posted. In the event of a delegate not having access to the internet, advice will be forwarded by post. The delegate should disseminate all necessary information to members.

MEMBERSHIP FEES

In October/November the delegate should remind members that he/she must receive the annual subscription by 1 February of the following year and then forward the relevant information to the Secretary/Treasurer via the ‘Delegates Only’ section on the website.

TOURNAMENT ENTRIES

Entry fees and associated payments to be collected for all Association tournaments and forwarded to the Secretary/Treasurer using the appropriate entry forms on the website.

BANKING MONIES INTO THE ASSOCIATION’S ACCOUNT

All monies collected by the delegate are to be deposited into the Association’s bank account, quoting the special code number supplied, and the Secretary/Treasurer advised through either the website or mail.

ARTICLES FOR ASSOCIATION NEWSLETTERS

Generally a newsletter is produced within the month after an Association tournament, delegates should be prepared to provide or have members supply, articles to the Secretary/Treasurer for inclusion in the newsletter .

ADDITIONAL RESPONSIBILITIES WHEN HOSTING TOURNAMENTS

Lane Marshalls. When required, members who are familiar with the operation of the consoles etc should be appointed to facilitate the smooth running of a tournament.

Signing In. Appoint area members (or ask for assistance) in signing in each squad.

Computer. Arrange a quiet area for the computer operator to work.

Publication of Tournament Results. Liase with the Centre for a suitable area to publish tournament results.

Storage of Bowling Balls etc. Liaise with the Centre to see if secure overnight storage can be provided.

Food. Liaise with the Centre to ensure that ample food is available during a tournament.

Association Dinner and Social. Choose a venue for the Saturday evening dinner, a theme (optional) and advise the Secretary/Treasurer of full details (including a menu) so that the information can be published on the website.

Raffles. Organise raffle prizes, conduct the raffles and after deduction of costs, pay the balance into the Association’s account. The numbered raffle sheets can either be provided by the delegate or supplied by the Secretary/Treasurer.

Annual General Meeting and Delegates’ Meeting. Arrange a suitable venue.

Accommodation. Advise details of local motels and approximate costs for the Secretary/Treasurer to publish on the website. If possible, this information to be provided as website references. The delegate is not required to make bookings.

Reimbursement of any Costs. Notify the Secretary/Treasurer of any monies owed to any person within the delegate’s area so that reimbursement can be made. The official voucher held by the Secretary/Treasurer must be completed and receipts (where applicable) attached and signed as being received.
